Job Description
POSITION: Events Coordinator
TYPE: Permanent, Part-Time (average of 20 hours per week)
REPORTS TO: Director of Operations. (This position will work closely with the Membership Director on membership events, networking events and educational seminars and the Director of Operations on fundraisers and signature events.)
LOCATION: This position is a hybrid position that works both in the office and at home. This position requires travel in and around DeKalb County, Georgia.
POSITION SUMMARY: The primary responsibility of the Events Coordinator is to oversee and/or assist in the planning, execution, and logistics of Chamber-produced events, special projects, and fundraisers, while adhering to the annual budget set by the Board of Directors. This employee will research and develop enhancements to current events, as well as propose new opportunities with regards to special events that fit within the Chamber’s mission.
This position will work with other Chamber staff on program development and marketing strategies as it pertains to the membership.
ESSENTIAL DUTIES & RESPONSIBILITIES:
The Events Coordinator is responsible for the following essential functions:
- Event Development: Manage all aspects of event production for the Chamber’s annual calendar of events, including networking events, educational seminars, fundraisers, and signature events. Ensure set-up, coordination, and execution of Chamber events.
- Event Marketing & Promotion: Enhance and ensure implementation of event marketing plans, leveraging digital, print, and social media platforms to drive attendance and engagement, while following the Chamber’s content calendar.
- Budget and Sponsorship Management: Maintain current event budget reports and ensure budget conformance. Recruit new sponsors, manage sponsor renewals, and coordinate sponsorship fulfillment, including marketing, special invitations, hospitality, event collateral distribution, signate, post-event reports, and on-site promotions. Solicit donation items for Chamber events, when necessary.
- Vendor and Partner Collaboration: Establish and manage relationships with vendors, suppliers, and partners to ensure exceptional event delivery, including venue coordination, catering, audio/visual requirements, and other services. Collaborate with Director of Operations on fundraisers and signature events and Membership Director on membership and networking events and educational seminars.
- Communications: Manage members, sponsor and organization’s expectations with clear and persuasive communication. Take photos at ribbon cuttings and Chamber functions for use in Chamber materials and media distribution. Produce short post-event write-ups for social media and e-newsletters.
- Innovation and Evaluation: Continuously evaluate event effectiveness and implement feedback-driven improvements. Stay informed of industry trends and introduce innovative practices to elevate the Chamber’s programming.
- Team Leadership: Oversee event-related volunteers to deliver exceptional results through collaboration, training, and performance management.
- Committee / Task Force Responsibilities: Collaborate with Chamber committees on committee-driven events, gaining input and delivering updates and reports when appropriate. Develop, recruit, and manage new event planning task forces, as needed.
- Administrative: Produce and maintain accurate records and planning handbooks for special events. Develop and maintain event calendars and timelines for Chamber staff and event committees / task forces. Attend and actively participate in appropriate meetings and gatherings. Perform other duties as assigned by the President & CEO.
POSITION REQUIREMENTS:
- Bachelor’s degree in Event Management, Hospitality, Business, Marketing, or a related field preferred. Equivalent professional experience will be considered.
- Minimum of 3-5 years of experience in event management or a related role, preferably in a Chamber, association, or non-profit setting.
- Proven success in developing and managing budgets, securing sponsorships, and driving revenue growth.
- Exceptional organizational and project management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal and communication skills, both written and verbal, with a talent for building relationships with diverse stakeholders.
- Demonstrated leadership abilities, including managing teams, volunteers, and cross-functional partnerships.
- Strong organizational, time management and priority placement skills to reliably meet deadlines.
- Must be a self-starter, goal oriented, reliable and maintain a professional demeanor.
- Must be able to work collaboratively in a team environment and support the team, when necessary, with positive disposition.
- Proficiency in event management software, Microsoft Office Suite, and social media platforms. Familiarity with CRM or database systems, such as ChamberMaster or GrowthZone, is a plus.
- Knowledge of DeKalb County’s business community and its unique opportunities is strongly preferred.
- Ability to work flexible hours, including early mornings, evenings, and occasional weekends, as required by events.
- Physical capability to lift 25 pounds regularly and up to 50 pounds occasionally.
- Must possess a valid driver’s license and have a reliable home internet connection.
